Printing generally involves different paper and more processes in preparation, reproduction and finishing than does Routine Duplicating.

Those with Printing needs should contact Printing Services as soon as possible to begin completing the Publications Production Guide and to begin the planning process that is essential to producing a successful publication.

Projects requiring significant graphic design, particularly those intended for off-campus distribution, will be referred for assistance to the Office of Public Relations in O'Hara 606, Ext.  7669.

Basic design and graphic services, particularly for projects intended for on-campus distribution, are available through Printing Services in compliance with guidelines provided by the Office of Public Relations.  Rates for design assistance are determined by the complexity of the work and the resources (photos, line art, original art, etc.) required, beginning with a base rate of $45 per hour for labor plus materials.

Paper costs vary greatly.  Each of the half dozen area paper supply companies lists several hundred thousand combinations of paper weights, colors, sizes and finishes with prices varying weekly because of supply and demand forces.  The paper companies do not provide price lists, therefore Printing Services cannot provide such lists.  Except for a limited quantity of several popular papers kept in supply, all paper prices are quoted on request from paper companies.

Because of the many variables in pre-press preparation, printing manufacturing and post-press activities, standard pricing of printing is impossible.  However:

  1. Reference prices can be provided on request based on similar work previously completed.

  2. Estimates can be provided when most major variables are known in advance but may vary 10-15% as the remaining variables are encountered.

  3. Quotes will be provided when all variables are specified in advance.  Quotes are firm prices that cannot be altered within 30 days unless the original specifications are changed.

Changes made after the initial submission of copy or other materials will probably result in delays and/or additional expenses.  RUSH work will produce extra billings for overtime expenses or for the off-campus purchase of services to speed production.

Advance Planning

The large volume of work handled by the Public Relations and Printing Services offices makes advance planning necessary, since most jobs require a sequence of operations: design planning, layout, typesetting, artwork, creative proofs, file construction and transport, production proofs, manufacturing and shipping.

Production schedules can be fixed in advance, specifying dates for delivery of draft copy, dates for delivery and return of page layouts and proofs, and the date for delivery of the completed publication.  Schedules obligate both the customer and the printer; late return of proofs or customer alteration of original materials will delay final delivery and, potentially, incur additional expense.

Printing Services is equipped to produce or to purchase a final printed piece that meets the customer's specifications exactly.  To accomplish that in the most efficient and economical way, certain details need to be considered at the inception of the work.  The staffs of the Office of Public Relations and the Printing Services Office are both prepared to provide planning assistance and either of the offices should be contacted as early as possible in the development of a printing project.

The Beginning Steps

All initial decisions regarding the purpose of and the audience for the printed piece are normally made by the customer.  If the piece being planned is one of a series of previously designed pieces, it will be helpful to include a sample of an earlier piece to follow in design.

Projects requiring significant graphic design, particularly those intended for off-campus distribution, will be referred for assistance to the Office of Public Relations.  An explanation of the University's publication standards is available at that office.

Copy that is to be typeset should be presented neatly typed and double-spaced on one side of plain white bond paper, with extra margin space for notes to be made later that specify typestyles and sizes, corrections, etc.  Text materials may also be submitted for output via desktop publishing as described in Typesetting/Desktop Publishing.

After the initial discussions, a draft layout of the proposed piece will be provided.  Although the Printing Services staff will review copy for errors, final responsibility for proofreading rests with the customer.

The first proof stage is the most economical time to correct errors or to make minor last-minute revisions. The cost of making customer-made changes after the first proof stage will be billed to the customer on a time-and-materials basis.  Changes made after the first proof stage will probably delay production of the piece and/or result in extra expenses to make up lost time.

After the first proofs are approved, necessary changes will be made and submitted to the customer on final page proofs for approval.

When the page proofs have been corrected, the customer will either sign an approval slip to print the job or will, in the case of complex work, receive a production proof.  The production proof is made from the files that will be used to prepare plates in the printing process.  Production proofs verify the placement of colors, page order and folding or trimming.

Typesetting/Desktop Publishing

For Offset Printing (Output Ready)

Customers who do their own computer designing should use Adobe InDesign (Macintosh compatible).  When submitting files, collect for output to include all fonts and images used in the file and check that all RGB images have been changed to CMYK.  Files should be accompanied by a hard copy or PDF version to verify file construction.  

For Offset Printing (Layout Required)

Text-only submissions in Mac or PC applications should be unformatted, typed all upper and lower case (no all caps), all copy justified (no indents or tabs), returns only at the end of paragraphs (no forced hyphens), single-spaced text and double-spacing between paragraphs.  Use two spaces only after periods and colons, use lower case letter "o" to indicate bullets, use the capital letter "H" to indicate stars, and use the letter "n" to indicate a check box or a check mark.  Save the text in Word or as ASCII text.

For Digital Printing

Digital files that are accepted include PDF, EPS, JPEG and TIFF.  When submitting files, include fonts or convert fonts to a graphic.  If possible, also submit a hard copy.

Off-Campus Printers

The use of off-campus printers is often necessary or more economical when the work to be done is multi-color, is very high quantity, or involves production requirements that the University Print Shop is not equipped to provide.

To take advantage of volume buying power and to insure consistent monitoring and regulation of printers' performance, all printing is processed through a single office -- the Office of Printing Services.  The University stipulates conditions for doing work with printing vendors, some of which are routinely applied by other institutions, others of which are exceptions to Printing Trade Customs.  Printing contracts are awarded in cooperation with the Purchasing Office.

A part of every printing contract is the destination of the finished product.  Customers may specify delivery on campus or may specify delivery elsewhere, for example, to a mailing preparation vendor.  A change in destination once the contract is executed could result in additional charges for shipment.

Invoices for off-campus printing will normally be processed through Printing Services, and the customer's Printing Services (710756) account will automatically be debited through the Treasurer's Office for the cost of providing the printed products, unless other arrangements have been made.

Bulk Mailing/Business Reply Mail

Customers planning to mass mail their finished pieces, particularly those planning to employ the University's Standard (formerly Third Class) Mail Permit, should indicate so early in the planning stages.  Bulk-mailed pieces and pieces designed to be returned postage-paid must be designed and produced according to very specific U.S. Postal Service guidelines.  Further, the staff of Printing and Mailing Services can provide assistance in preparing and planning mailings to prevent delays and to avoid unnecessary expenses.  More information is available by contacting Mailing Services at Ext. 7492.
